Service Cancellation and Refund Policy – MediTallyBest

This Service Cancellation and Refund Policy (“Policy”) describes how MediTallyBest handles cancellations and refunds for accounting, tax, bookkeeping, payroll, and advisory services.
This Policy applies in addition to the terms in your engagement letter or service agreement. If there is a conflict between this Policy and your signed engagement letter, the engagement letter will normally prevail for the services covered by it.
1. Scope of services
MediTallyBest provides professional services that are primarily time-based and expertise-based. Many tasks, such as bookkeeping, tax preparation, and advisory work, involve significant effort, analysis, and professional judgment.
Because of this, our services are not typically “returnable” products. However, we aim to handle cancellations and refund requests fairly and transparently.
2. Engagement, fees, and billing
Service details, fees, and billing frequency are agreed in advance in your engagement letter or proposal. This may include:

Monthly subscription packages (for example, Starter, Growth, Premium)

One-time onboarding or cleanup services
-
Project-based work (for example, specific advisory, tax planning)
-
Hourly consulting fees
Unless otherwise stated in your engagement letter, all amounts are in Canadian dollars (CAD) and are subject to applicable taxes.
3. Cancellation of ongoing monthly services by the client
You may cancel ongoing monthly services (for example, subscription-based accounting packages) by providing written notice to MediTallyBest at support@meditallybest.com.
Unless otherwise specified in your engagement letter:

Cancellation will take effect at the end of your current billing period.

Fees already invoiced or paid for the current billing period are generally non-refundable, as work is planned and reserved in advance.

We will not charge you for future billing periods after the effective cancellation date.
If you request immediate termination before the end of a billing period, we may review your account and, at our sole discretion, offer a partial refund or credit if minimal work has been performed during that period. This is not guaranteed and will depend on the specific circumstances.
4. Cancellation of one-time or project-based services
For one-time or project-based services (for example, year-end tax preparation, cleanup bookkeeping, special advisory projects):

If you cancel before we begin substantive work, we may refund the fee in full or in part, depending on any preparatory work already completed.

If we have already started work or completed a substantial portion of the project, we may charge for the work performed up to the date of cancellation. Any refund will reflect the remaining portion of the fee for work not yet performed, if applicable.

If the project is substantially completed or the deliverable has been provided, fees are generally non-refundable.
Any non-refundable amounts or minimum fees will be described in your engagement letter.
5. Cancellation by MediTallyBest
We reserve the right to suspend or terminate services if:

Fees remain unpaid beyond agreed payment terms,

You fail to provide necessary information or cooperation to allow us to perform the services,
-
There is a conflict of interest, professional or legal risk, or other circumstances that make it inappropriate for us to continue acting,

We are required to do so under applicable laws, regulations, or professional standards.
In such cases, we will provide reasonable notice where possible, consistent with our professional obligations and applicable rules.
If we terminate services without cause (for example, for internal business reasons), we will:

Provide you with reasonable notice,

Deliver any completed work product that has been paid for, and
-
Consider a fair refund of any prepaid fees for services not yet performed.
6. Refund eligibility
Refunds may be considered in the following situations:

Overpayment or duplicate payment of invoices

Prepaid fees for services that have not yet been started and that are not specified as non-refundable
-
Errors clearly attributable to MediTallyBest that materially affect the value of the service, where the error cannot be reasonably corrected or remedied
Refunds are not generally available for:

Services that have already been performed or substantially completed
-
Non-refundable setup, onboarding, or consultation fees explicitly stated in your engagement letter

Government filing fees, third-party software costs, or fees paid to external providers
-
Situations where you are dissatisfied with an outcome that is outside of our control (for example, tax authority assessments or regulatory decisions), provided that the services were performed with reasonable care and skill

8. Processing refunds
If a refund is approved, we will process it using the original payment method where possible, or another mutually agreed method. The timing of the refund may depend on your payment provider and banking institution.
We will make reasonable efforts to process approved refunds promptly.
9. No guarantee of outcomes
Our services are provided with professional skill and care, but we do not guarantee specific outcomes, such as particular tax refunds, regulatory approvals, or financial results. Any decisions made by tax authorities, regulators, or third parties are outside of our control.
Dissatisfaction with an outcome that results from factors beyond our control does not, by itself, constitute grounds for a refund.
10. Changes to this Policy
We may update this Service Cancellation and Refund Policy from time to time. The “Effective date” at the top indicates the most recent version. Changes will apply to services requested or renewed after the updated Policy takes effect.
